Overview

Learn how to transfer your time card information from OnTheClock to your ADP account.

If the CSV Export does not import your time card information, you can manually enter the time card information by following the steps below. 

Setup

  1. ADP Payroll Plus

  1. Step 1: Log in to your Payroll Plus account powered by ADP.
  2. Step 2: Once logged into the ADP account, click on the "Run Payroll" icon under the Home dashboard.
  3. Step 3: Review the payroll dates listed inside ADP to ensure they match those inside your OnTheClock account.
  4. Step 4: Below the payroll dates in your ADP account, you will see a blank spreadsheet with all your employees listed and the different payroll categories such as "Regular Hours," "Overtime Hours," "Vacation Time," "Sick Time," "Personal Hours," "Holiday Hours," "Bonus Amount" etc. Note: If you have renamed your payroll categories to something other than the default names inside of ADP or OnTheClock, please ensure that you add the number of hours to the correct renamed category. 
  5. Step 5: Inside OnTheClock, under the Time Cards page, you will reference the "Hours Sub Total" row for each employee, where it totals each payroll category for them. 
  6. Step 6: Now, in the ADP spreadsheet, click on the box for the corresponding employee that matches the pay category you are looking at, and type in the number that you see shown in OnTheClock. 
  7. Step 7: Repeat the above step for each employee and the corresponding pay category. 
  8. Step 8: Once you have entered all of your employees' totals at the bottom of the ADP spreadsheet, review the "Totals" row and ensure that the numbers you see match the "Hours Grand Total" row inside  OnTheClock.
  1. Once it is reviewed that the number of hours matches between your OnTheClock and ADP Payroll Plus spreadsheet, you can choose to click on one of the following; "Save," "Finish Later," or "Preview Payroll."
  2. ADP Run®️

  3. Check out the ADP Run Integration with OnTheClock to automatically send time cards with the click of a button. 
  4. Step 1: Log in to your RUN account powered by ADP.
  5. Step 2: Once logged into the ADP account, select Payroll on the left menu bar. 
  6. Step 3: Click the "Run Payroll" button on the payroll dashboard.
  7. Step 4: Review the payroll dates listed inside ADP to ensure they match those inside your OnTheClock account.
  8. Step 5: Below the payroll dates in your ADP account, you will see a blank spreadsheet with all your employees listed and the different payroll categories such as "Regular Hours," "Overtime Hours," "Vacation Time," "Sick Time,", "Personal Hours," "Holiday Hours," "Bonus Amount" etc. Note: If you have renamed your payroll categories to something other than the default names inside of ADP or OnTheClock, please ensure that you add the number of hours to the correct renamed category. 
  9. Step 6: Inside  OnTheClock, under the Time Cards page, you will reference the "Hours Sub Total" row for each employee, where it totals each payroll category for them. 
  10. Step 7: Now, in the ADP spreadsheet, click on the box for the corresponding employee that matches the pay category you are looking at, and type in the number that you see shown in OnTheClock. 
  11. Step 8: Repeat the above step for each employee and the corresponding pay category. 
  12. Step 9: Once you have entered all of your employees' totals at the bottom of the ADP spreadsheet, review the "Totals" row and ensure that the numbers you see match the "Hours Grand Total" row inside  OnTheClock.
  13. Step 10: Once it is reviewed that the number of hours matches between your OnTheClock and ADP Run spreadsheet, you can choose to click on one of the following; "Save," "Finish Later," or "Preview Payroll."
  14. ADP Workforce Now

  15. Step 1:  Log in to your ADP Workforce Now account.
  16. Step 2: To process your payroll, you will first want to review the payroll dates listed inside ADP to ensure they match those inside your OnTheClock account.
  17. Step 3: You will find a blank payroll spreadsheet with all your employees listed and the different payroll categories such as "Regular Hours," "Overtime Hours," "Vacation Time," "Sick Time," "Personal Hours," "Holiday Hours," "Bonus Amount" etc. Note: If you have renamed your payroll categories to something other than the default names inside of ADP or OnTheClock, please ensure that you add the number of hours to the correct renamed category. 
  18. Step 4: Inside  OnTheClock, under the Time Cards page, you will reference the "Hours Sub Total" row for each employee, where it totals each payroll category for them. 
  19. Step 5: Now, in the ADP spreadsheet, click on the box for the corresponding employee that matches the pay category you are looking at, and type in the number that you see shown in OnTheClock. 
  20. Step 6: Repeat the above step for each employee and the corresponding pay category. 
  21. Step 7: Once you have entered all of your employees' totals into ADP, review the final total row at the bottom of the spreadsheet and ensure that the numbers you see match the "Hours Grand Total" row inside OnTheClock.
  22. Step 8: Once it is reviewed that the number of hours match between your OnTheClock and ADP Workforce Now spreadsheet, you can continue processing payroll. 

What to Expect

If you directly connect with RUN, you can expect to see a send to payroll button in your time cards.

When you process, you must confirm the message to accept sending over to your RUN account. 

If you are utilizing another version of ADP, you must manually add your time. You can review your time cards and transfer the information into your account by referencing your OnTheClock time cards. 

Troubleshooting

A
OnTheClock offers a standard CSV file that is accepted by most payroll providers for upload. In the Time Cards section of OnTheClock, in the top right area of the screen, you will see the "Export CSV" button. You can click on this and it will download the time cards for the pay period you are currently viewing. Depending on the ADP version you are using, ADP may not offer a CSV file import option and it will require you to manually enter the time data by hand. If you do not have the file import option in your ADP account, please reference the above help directions on how to manually add your hours into ADP's system.
