ADP Data Connector Integration and Setup

Overview

Purchasing the ADP Data Connector with OnTheClock

You’ll need your OnTheClock account key to integrate your ADP Data Connector. You can find this in your “Time Clock Settings” panel under the “Basic Settings” section. 

  1. Step 1: After logging into your OnTheClock account, navigate to “Time Clock Settings” and then “Payroll Providers.”
  2. Step 2: On the “Integration's” page, click “Connect to ADP.”
  3. Step 3: In the ADP Marketplace, complete the steps to purchase.
  4. Step 4: Enter your OnTheClock account key.
  5. Step 5: After confirming your purchase, click the “Manage Consent” button. 
  6. Step 6: Log in to your ADP account, then click “Allow” to grant OnTheClock access to RUN Powered by ADP. 

Note: You can view your connection status to RUN Powered by ADP in OnTheClock by navigating to “Settings,” then “Time Clock Settings,” then “Integration's.”

Setup

Importing and Syncing Employees

You can sync your employees’ first and last name, as well as their email address, from ADP to your OnTheClock account. Terminated employees and those on a leave of absence will not be included. 

  1. Step 1: After logging into your OnTheClock account, click “Employees.”
  2. Step 2: From your full employee list, click “Add Employees,” then “Import Powered by ADP Run.”

Creating Employee Profiles

When importing employees from ADP to OnTheClock, we will attempt to match existing profiles. If employees do not have an existing OnTheClock profile, you will need to create one for them. To create a new OnTheClock employee profile, click the drop-down box next to the employee's name, then “Create New.” 

Importing Select Employees 

If you’d only like to import select employees, click the “Do Not Sync” button. This will prevent all unlinked employees from being imported. You can then set the employees you want to import to “Create New.”

What to Expect

Sending Time Cards from OnTheClock to ADP

At the end of your pay period, you can export OnTheClock time cards to Run Powered by ADP®️ for processing.

  1. Step 1: After logging into your OnTheClock account, click the “Time Cards” button. 
  2. Step 2: To begin your export, click the button labeled “RUN Powered by ADP Export.”
  3. Step 3: Log in to your Run Powered by ADP account and complete the payroll process. 

What time card data can OnTheClock send to ADP? 

OnTheClock will send this time card data to Run Powered by ADP:

  • Regular hours
  • Overtime hours
  • Overtime 2 hours
  • Overtime 3 hours
  • Personal hours
  • Vacation hours
  • Holiday hours
  • Sick hours
  • Cash tips
  • Bonus amount
  • Commission

Canceling the ADP Data Connector

If you’d like to cancel your ADP Data Connector, you need to do so through the ADP Marketplace. 

  1. Step 1: Log into your Run Powered by ADP account.
  2. Step 2: Navigate to the ADP Marketplace.
  3. Step 3: Navigate to “My Apps.”
  4. Step 4: Locate the ADP Data Connector. 
  5. Step 5: On the dropdown menu, click on “Manage,” then “Cancel Subscription.”

After canceling, you will have a standard OnTheClock account. Note that canceling the data connector will wipe out the ability to sync employees, send time cards, and logging in using the single sign-on (SSO) method.

Canceling the ADP Data Connector and OnTheClock

Follow the steps above to cancel your ADP Data Connector. Once completed, you can cancel your OnTheClock account. Here’s how:

  1. Step 1: Log in as an administrator via browser.
  2. Step 2: Click on your name in the upper right corner.
  3. Step 3: Select “Billing Info.”
  4. Step 4: Select “Close My Account.”
  5. Step 5: Download your time cards and fill out the form.
  6. Step 6: Select “Close My Account” to submit your request.

Note: Canceling your OnTheClock account does not automatically cancel the data connector.

Troubleshooting

After logging into your OnTheClock account, click “Settings,” then “Time Clock Settings.” Under the “Basic Settings” section, you will find your account key.

The gray color indicates that the order is still processing. This will change once your order is processed.

Yes — for your ADP data to be integrated with OnTheClock, you must consent to share account data.

Log into your ADP account and navigate to “My Apps.” Then, launch the OnTheClock application. You will be prompted to offer consent.

When syncing employees to OnTheClock, it will import the first name, last name, and email address that is on file for the employee in your Run Powered by ADP account.

After logging into your OnTheClock account, navigate to “Employees,” then “View Full Employee List.” Click on an employee’s name to open their profile. If the sync is successful, it will state “Synced from ADP on [Date and Time]” in the Notes field (under “Additional Options”).

In this scenario, you should re-export your OnTheClock time cards to your ADP account.
