Survey Setup and Troubleshooting

Overview

Surveys are a great way to ask employees questions before the start of their shifts. Some use cases include health check screenings and equipment checks before clock-in.

Setup

 

 

Adding a Survey Before Clock-In

Step 1: To initiate the process, log in to OnTheClock as either an admin or a manager.
Step 2: Click “Settings" at the top of the screen.
Step 3: From the drop-down menu, select “Employee Surveys.”
Step 4: Create your employee survey by clicking “Add New Survey.”

Add Survey Details

Step 1: Click “Add New Survey” to initiate the survey creation process.
Step 2: To make the survey accessible for employees, toggle the “Activate survey” switch to the green position.
Step 3: Enter a descriptive title for the survey in the “Survey title” field.
Step 4: Provide a concise survey description in the “Survey Description” section.
Step 5: Note that under “Survey Event”, the survey is positioned before the beginning of the day; this is the only available option currently.


Add Survey Questions

Step 1: Create questions by clicking “Add Question.”
Step 2: Optionally, select the required box to ensure employees complete the survey.
Step 3: Enter your question in the provided text field.
Step 4: Choose the appropriate “Question Type” - either “Free form Text” for open-ended responses, “Radio Buttons” for single-choice answers, or “Checkboxes” for multiple-choice responses.
Step 5: Select the “Flag” checkbox on any questions to trigger the “fail” message you created in survey validation.

 

Add Question Validation

Step 1: Start creating questions by clicking on Add Question.”
Step 2: Optionally, select the required box to ensure employees do not skip the survey.
Step 3: Enter your question in the provided text field.
Step 4: Choose the appropriate “Question Type” - either “Freeform Text” for open-ended responses, “Radio Buttons” for single-choice answers, or “Checkboxes” for multiple-choice responses.
Step 5: Select the “Flag” checkbox on any questions to trigger the “fail” message you created in survey validation.

What to Expect

Viewing Survey Results

Step 1: Review submissions in the “Survey Reports” section.
Step 2: Select the survey you want to view and specify a date range for the data.
Step 3: Optionally, click on “Only Flagged” if you want to focus on answers that were flagged during the survey.
Step 4: Run the report after configuring your preferences.
Step 5: To delve into the details, click the icon to the left of each submission.
Step 6: Within the detailed view, you can observe the “Question,” “Answer,” and the “Flagged” status for each response.

Q: Where can I place a survey question for employees to answer?

A: Right now, survey questions will appear at the beginning of the day for employees to answer before clock in.

Q: Can survey questions be optional?

A: Yes —you can allow for a survey to be skipped by employees.

Q: Can I require an answer to the survey?

A: Yes —you can require a survey is answered before the clock in.

Q: If an employee answers a survey question I flagged, does it prevent clock in?

A: No —once the survey is completed an employee can still clock in regardless of if the answer was flagged.

Q: Do I receive notifications via email or SMS for flagged responses to questions?

A: No —you can review the survey responses by logging in on the website and clicking survey results.

Q: Can I have multiple surveys at once?

A: No —as of right now only one survey can be active at a time.

Q: Can I assign specific surveys to specific employee departments or groups?

A: Not at this time. The survey will be for all employees once it is activated.

Q: If I delete a survey, do all my past responses and survey results remain?

A: No, you will want to screenshot that information before deleting the survey.
