Automated Reports
Overview
With OnTheClock, you can receive automated reports about your employees’ hours and clock-ins. Unlike overtime alerts, you can schedule exactly when you’d like to receive these reports.
There are three types of automated reports:
- Time Cards: Sends the current pay period in PDF and Excel formats — the best time to send this report is on the last day of the pay period.
- Weekly Time Summary: Sends the total hours for each employee for the current week — the best time to send this is the last day of your working week.
- Who’s In: Sends a summary of employees currently punched in — the best time to send this is after your staff has punched in for the day.
Setup
- Step 1: Log in as an administrator via browser.
- Step 2: Navigate to “Settings” , then “Overtime Alerts/Scheduled Reports.”
- Step 3: Click Add Report.
- Step 4: Select your report type (explained in the next section).
- Step 5: Select the days you’d like to receive your report, or toggle on “Last Day of Pay Period.”
- Step 6: Enter the time you’d like the report to run in “Run Time.”
- Step 7: Select the report recipients.
- Step 8: If needed, enter email addresses and/or phone numbers in the “Additional Recipients” field.
- Step 9: Click Save.


Export Instructions for Scheduled Reports
You can export Scheduled Reports from your account.
Exports are available in CSV, Excel, or PDF formats.
How to Export
- Step 1: Navigate to Scheduled Reports in your account.
- Step 2: Click the Export button at the top of the page.
- Step 3: Select your preferred file format: CSV, Excel, or PDF.
- Step 4: The file will download automatically to your device.
- Step 5: Open the file to review details.

- Report name
- Frequency (daily, weekly, etc.)
- Run time
- Recipients

- Compliance Tracking: Maintain records for auditors to show consistent monitoring of scheduled reports.
- Manager Oversight: Verify that the right people are receiving scheduled reports.
- Operations Review: Identify gaps, duplicate setups, or missing recipients.

- Audit Trail: Keep a documented history of scheduled reports for future reference.
Tips for Exported Files
- CSV → Best for uploading to spreadsheets or databases.
- Excel → Best for sorting, filtering, and formatting.
- PDF → Best for sharing with managers or auditors in a secure, locked format.
What to Expect
Once you have established your automated report settings you will now receive your reports at the times you specified!
Does it cost extra to receive reports via text?
Yes — SMS messages are an additional cost. For SMS text messaging features, we will charge a flat $2.00 fee per month and $0.01 per sent message.
Can I receive just an email of my reports?
Yes — to bypass text messages, toggle “Selected” off, then enter your email address into the “Additional Recipients” field.
