Shift Schedules & Troubleshooting

Overview

Your OnTheClock account offers two types of schedules: fixed and shift. With shift schedules, you can assign employees to specific shifts — useful if you rotate staff in and out throughout the day. Currently, shift schedules can only be created by an administrator via a browser. Here’s how to set it up.

Setup

First, you will want to log in as an administrator and turn scheduling on so that when you publish, your employees can view the schedule on their mobile app or the desktop. You have the option to set the schedule view type to:

  • Personal: Employees can only view their own schedule once published.
  • All Employees: Employees can view everyone's schedule once published.

Turn on Scheduling

  1. Step 1: Log in to your OnTheClock account as the administrator.
  2. Step 2: Navigate to “Settings,” then “time clock settings.”
  3. Step 3: Click “punch site.”
  4. Step 4: Under “Employee punch site,” select “Personal,” or “All employees.”
  5. Step 5: Click “Save.”

Creating a Shift

  1. Step 1: Log in to your OnTheClock account.
  2. Step 2: Navigate to “Schedule,” then “Schedule Settings.”
  3. Step 3: Click “New Definition.”
  4. Step 4: Name your shift and enter the start and end times.
  5. Step 5: Click “Save.”

Adding Shifts to Schedules

  1. Step 1: Navigate to “Schedule,” then “Employee Schedules.”
  2. Step 2: Click on the day to schedule a shift.
  3. Step 3: Set your employee and other shift options (if applicable).
  4. Step 4: Select your shift from the “Shift” dropdown menu.
  5. Step 5: Click “Save.”

Copying Schedules

You can save time by copying your shift schedule.

  1. Step 1: Navigate to “Schedule,” then “Employee Schedules.”
  2. Step 2: Click the copy icon on the top right of the schedule view.
  3. Step 3: In the “Copy from” and “thru” fields, enter the dates to copy.
  4. Step 4: In the “Copy to” and “thru” fields, enter the dates to schedule.
  5. Step 5: Click “Copy Now” to complete this process.

Publish your Schedule

Once you are satisfied with your added shifts go ahead and publish the schedule to your employees to allow viewing.

  1. Step 1: Navigate to “Schedule,” then “Employee Schedules.”
  2. Step 2: Click the upload icon on the top right of the schedule view.
  3. Step 3: In the “Schedule publish options box,” click “publish now.”
  4. Step 4: You can copy the unique link to post or send out.

What to Expect

Desktop

The administrators and managers can see the employee schedule in full on their screens regardless of it being published. Once the employee schedule has been enabled and published, an employee can navigate to “schedule” on their dashboard and review either their personal or all employee's scheduled shifts based on set permissions.

Mobile

On the mobile app, you must select a date range you wish to view. Schedules must be published for admins and managers to see schedules for selected employees. Once published, the admin or manager can select the date range and check off an employee they wish to see the schedule for.

Viewing Schedule as an Admin or Manager

  1. Step 1: Log in to your OnTheClock account.
  2. Step 2: Navigate to “more…” on the bottom right.
  3. Step 3: Scroll down and tap schedule.
  4. Step 4: Select a date range to view.
  5. Step 5: Select an employee whose schedule you wish to view.

Viewing Schedule as an Employee

  1. Step 1: Log in to your OnTheClock account.
  2. Step 2: Navigate to “more…” on the bottom right.
  3. Step 3: Scroll down and tap schedule.
  4. Step 4: Select a date range to view.
  5. Step 5: They must select an employee if they can see “all employees,” or it will just show their shift on the screen.
Do I need to publish the schedule out everytime I change?
No — If you change a shift around inside a published scheduled date range it will automatically update for that period.
Does your schedule sync or integrate with other calendars in OnTheClock or outside systems?
No — currently the schedule does not sync or integrate.
Can I changes settings so that all employees do not receive everyones scheduled shifts?
Currently the schedule will automatically email to any employees who have an email address on file. One way to change this would be to update email addresses for employees to just generic usernames so no emails are sent.
Can I create a template to reuse with the schedule?
No — currently we do not store any templates of the schedule but you can copy over shifts for an entire year span if you know what the shifts will be for an upcoming period of time. This can reduce time creating a schedule for your staff. You can also publish a schedule for an entire month or year.
Can my employees swap or switch shifts on the schedule?
No — currently we do not have a feature to allow employees to trade or update their own shifts. Creation of schedules can only be completed by an administrator or a manager. An employee can however use our messaging feature and send over a message to an admin or manager to ask about their schedule.
Can I block off days/hours an employee cannot work on the schedule?
No — currently we do not have a blackout feature.
My employee cannot see the schedule on their app.
If your employee is not able to view their schedule make sure that you have published the schedule to employees and that you turned scheduling on in your employee punch site settings.
Do I need to publish the schedule out everytime I change?
