The challenges you faced

Unreliable time tracking
As employees bounce from location to location, the company lacked a reliable way to track their hours, relying largely on the honor system.

Managers were fearful that employees weren’t working the hours they said they were – unsure if they were arriving 20 minutes late or leaving 20 minutes early. The staff sought a solution to quell their nerves and ensure they were paying employees only for the hours they truly worked.

The company was interested in limiting where employees could clock in and out through geofencing, hopeful this option would help minimize buddy punching and employees working from unauthorized locations.

The staff of American Janitorial Professionals is always on the go, tending to multiple properties at all hours of the day. When it came to keeping track of who was where and when, employees would simply send a text message defining their arrival and exit. Without a definitive time stamp, employee working hours were often unverified and inaccurate.
While the owner was somewhat aware this was occurring, he was much too busy focusing on the business’s day-to-day success to address the issue.
“There was no system of checks and balances in place, so who knows how much money was thrown away,” said Crystal Marie Dyer, business support manager, American Janitorial Professionals.
In October 2023, the company sought out a solution and found it in OnTheClock, an easy-to-use, accessible, and affordable time tracking option.
While OnTheClock was initially sought out for its simple time tracking abilities, Dyer was delighted to discover the software’s geofencing and GPS location options, which allow the company to limit where employees could punch in and out and track their whereabouts at any given time.
“OnTheClock allows us to monitor employees throughout their entire shifts,” said Dyer. “We can view their locations, see if they’re currently punched in, and track their routes for the day. It’s been a wonderful way for us to hold employees accountable.”
Once required to sort through dozens of text messages, Dyer now completes payroll quickly and efficiently, thanks to OnTheClock.
“I was spending a lot of time gathering all of the employees’ messages, inputting them into a spreadsheet, double and triple checking everything, reformatting, and sending payroll off to an account,” said Dyer. “That wasn’t adding up; it wasn’t making sense. OnTheClock has helped alleviate the burden.”
