The challenges you faced
-
Antiquated system
The company’s paper time sheets were proving to be ineffective, inaccurate, difficult to file/organize, and hard to track down.
-
Taking too much time
Administrators would commit a great deal of time to calculating hours, chasing missing timecards, and entering the data into the payroll program.
-
Organizational nightmare
The HR department was struggling to maintain and organize the paper trail as well as articulating the hand-written notes.
“When we added OnTheClock, I was spending less time with our employee's timecards. I was now able to easily decipher when the calculations weren't right, and where the disconnect was. OnTheClock allows us to pinpoint errors – we can see variations day over day and month over month. When you're doing it on paper, it’s like you're looking for a needle in a haystack.”
Fabi Silva | Office Manager, Sure Tack Systems, a Division of the Crist Company Inc.
For years, employees at Sure Tack Systems, a division of the Crist Company Inc., tracked their hours using pen and paper, manually recording their arrival, departures, and break periods.
As payroll deadlines approached, the office manager was tasked with validating each handwritten sheet – a process that entailed organizing each employee’s sheet, inspecting the claimed hours, conversing with employees to clear up any discrepancies, assessing any time off, etc.
Once everything was approved, the manager formatted the data into the appropriate language before submitting it to the company’s third-party payroll provider.
The process was tedious and time-consuming, commonly resulting in after-hours work for the company’s administrators.
“Oftentimes, the math wouldn’t add up, so we spent a lot of time double-checking everything,” said Fabi Silva, office manager, Sure Tack Systems, a division of the Crist Company Inc. “We were constantly asking employees about their hours; manually chasing them down; trying to confirm who was off, who was on, when they took breaks, etc. The process required a lot of time and attention to detail.”
In the fall of 2023, the company began seeking a better way to track time. After trialing a couple of different time management solutions, Sure Tack opted for OnTheClock in December 2023, relishing in the software’s easy, efficient, and affordable time tracking and payroll integration abilities.
“We no longer have to babysit timecards,” said Silva. “We don’t have to sort through stacks of paper or try to make out so-and-so’s handwriting. It’s all uniform. OnTheClock allows us to pinpoint any issues quickly and efficiently, which saves us a great deal of time when completing payroll.”
